Volunteering Information
Volunteers make Hoshicon! We can't run the convention without the wonderful help of our community. However, we do have some rules and qualifications that we must address beforehand. This is in order to let everyone know about what we expect from you guys as a volunteer. After this, the process is pretty simple! Listed below are the steps to becoming a volunteer, meetings for volunteers, basic rules and qualifications, and more! We really do hope that you will become a volunteer for us! In the past, people have said that volunteering has been fun. We try to make the process of volunteering and actually volunteering better year after year!
Basic Rules/Qualifications
Three - Day VolunteersYou must be 18+ at the time of the convention.
You must be pre – registered for Hoshicon 2013 for all three days. You must pick up your badge at Registration before checking in to Con Ops. You must sign in and out for every shift. Please stick to the volunteer schedule accordingly. You must complete at least 16 hours of volunteering to qualify for a badge for next year. We will email you if you have redeemed your badge. We will only allow you to work two hours at a time with two hour breaks in between. During these breaks, please enjoy the convention, eat, sleep, etc.! |
One - Day VolunteersYou must be 18+ at the time of the convention.
You do not need to pre – register, but it does help! Please come to Con Ops if you wish to volunteer. We will have you fill out a form for our knowledge. To qualify for a one – day badge, you must complete 8 hours of volunteering. For a two – day badge, you must complete 12 hours. We will only allow you to work two hours at a time with two hour breaks in between. During these breaks, please enjoy the convention, eat, sleep, etc.! |
Minor VolunteersMinors at the ages of 14 – 17 can volunteer for either of the
options above. However, they are only allowed to work a maximum of 8 hours a day. We must also have parental notification, so please bring your parent to Con Ops or have your parents sign the parential consent form located here. If you have any forms that we need to sign for community service for school/clubs, please give them to Con Ops during the beginning of your volunteering process. We will be happy to sign them. |
How To VolunteerSign up as a volunteer through our online Volunteer Application or at the convention at Con Ops. Please make sure you fill out the form in its entirety.
When you sign up, please indicate whether you will be a Three - Day Volunteer or a One-Day Volunteer. Volunteers who are 14-17 years of age at the time of the convention must sign up as a minor. If you apply online and your application is accepted, you will receive a confirmation email from us. We will let you know of any arrangements that you must do after this. We will send out all arrangements at least a month before the convention along with a potential volunteer schedule. When you arrive at the convention and after you pick up your badge, go straight to Con Ops to sign in and let us know you are there! We will provide you with a volunteer badge! You will be given instructions and supplies as needed to carry out your duties. These will be given out before the convention and when you check in. After you have finished your assigned shift, immediately return to Con Ops and check back in. A member of staff will record that you have completed your shift. You can take at least a two hour break now! Other NotesYou may hang with us at Con Ops to relax. You must make sure a staff member is present in order to be in there since we have some pretty serious paperwork in there. We aren’t too bad though! We are actually hoping to make that place a bit cozy for our duration there.
Most shifts are 2 hours, but you may have many things to do in those two hours! We will let you know what to do before your shift. We will also let you know what to do during your shift as well. It will be two hours on and off every shift that you plan to do. If you are off your break (min. 2 hours), we may have to call you to do more hours in order to cover for someone, so please do not be alarmed. You may also cosplay while volunteering, but you must be able to function as a volunteer. Please wear things that you can easily move in. Also, you may be getting a volunteer vest or something to easily identify you as a volunteer. This will be going over your cosplay so it is visible. You are representing Hoshicon, so please remember this! |
MeetingsAll meetings are mandatory and are held in Con Ops or in a specified location.
There are two orientation meetings held for volunteers that are working at the convention. You must attend one of the orientation meetings on either Thursday, June 27, 2013 at 7PM or Friday, June 28, 2013 at 7AM. If you can't make either of these meetings, please let staff know and we will brief you on what the meeting covered. We may host other meetings during the convention or ones before the convention. We will let people know at least two weeks before if there is a meeting before the convention. If there is a meeting during the convention, we will let you know at least an hour to two hours before the convention. |
